Coca-Cola Bottling Shqipëria (CCBS) is looking for a suitable candidate for the position of Executive Assistant.
Job Purpose
The Executive Assistant provides high-level administrative support to the CEO, President, and General Manager, ensuring the smooth coordination and execution of daily operations. This role requires exceptional organizational, communication, and problem-solving skills, as well as the ability to handle sensitive information with the highest level of discretion.
Key Responsibilities
- Calendar Management: Plan, organize, and efficiently manage the calendars of the CEO, President, and General Manager by coordinating meetings, appointments, and business travel. Ensure proper prioritization of activities, optimize time management, and reschedule appointments when necessary.
- Communication Management: Serve as the primary point of contact for internal and external communications on behalf of the CEO, President, and General Manager, ensuring timely and accurate correspondence.
- Meeting Coordination: Organize and prepare meeting materials, including agendas, presentations, and meeting minutes. Attend key meetings, take detailed notes, and follow up on action items.
- Travel Coordination: Plan and organize all travel arrangements, including flights, accommodation, transportation, and travel itineraries for the executive team.
- Document Management: Prepare, review, and edit reports, presentations, and other business documents, ensuring accuracy and timely completion.
- Confidentiality: Handle highly sensitive information with the utmost discretion and maintain strict confidentiality at all times.
- Project Management: Assist with the coordination of special projects, conduct research, and prepare reports as requested by the CEO, President, and General Manager.
- Stakeholder Management: Build and maintain strong relationships with key internal and external stakeholders, ensuring effective communication and collaboration.
- Office Support: Provide general administrative support, including handling phone calls, emails, correspondence, office supplies, and maintaining an organized executive office.
- Task Prioritization: Support the CEO, President, and General Manager in prioritizing tasks and managing time effectively to ensure key deadlines are met.
- Event Planning: Plan and coordinate company events, executive meetings, and other corporate functions.
- Availability: Be available outside standard working hours when required to address urgent business matters.
- Corporate Gifts Management: Coordinate the preparation and distribution of corporate gifts during the year-end holiday season and on other special occasions.
Skills & Qualifications
- Bachelor’s degree in Business Administration, Management, Social Sciences, or a related field (preferred but not mandatory).
- Minimum of 5 years of experience as an Executive Assistant or in a similar administrative role, supporting senior executives (C-level).
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant business applications.
- Ability to work independently, demonstrate initiative, and maintain a proactive approach.
- Strong attention to detail and commitment to accuracy.
- Ability to thrive in a dynamic, fast-paced environment while effectively managing multiple priorities.
- Professional demeanor, polished presentation, and the ability to interact effectively with senior executives, clients, and other stakeholders.
- Willingness to travel occasionally, as required, in support of the CEO, President, and General Manager.
- Excellent written and spoken English and Italian language skills.
